1. Memberships and Payments
1.1 Memberships are based on fortnightly direct debits. By signing up for a membership, you agree to allow us to automatically deduct membership fees from your nominated account every fortnight in advance. Direct debits will continue each fortnight, automatically, until a cancellation/hold request is received.
1.2 It is your responsibility to ensure that sufficient funds are available in your nominated account on the payment due date. Should a payment be declined, you will be notified as soon as possible and the charge will be put through again a few days later. If a payment is missed, access to classes may be restricted until outstanding fees are paid. A failed transaction will incur an additional administration fee of $5.00 on each occasion, which will be added to your fortnightly tuition if required. We will work through any payment problems with you, however, if we are not able to process a payment after 10 days, your enrolment may be cancelled in order to limit accruing overdue charges.
1.3 Any unpaid fees must be settled before cancelling your membership or placing it on hold.
1.4 If additional costs are incurred through your participation with us including, but not limited to, event fees and uniform purchases, your account will be charged if payment is not received by the due date.
1.5 If you would prefer not to be charged by direct debit, you may arrange payment during office hours by EFTPOS or cash, to be received by Pole Haven before the due date. Despite this option, a card or bank account must be kept on file, which acts as a guarantee of payment. Any balance remaining on the due date will be charged to your account on file.
1.6 Should an error in billing occur, we will correct the issue as soon as practical after the error is detected and keep you informed as to any changes we have made. Our fee schedule is reviewed annually and published on our website.
2. Cancellation Policy
2.1 If your circumstances change, you may cancel your membership at any time by providing us with at least 14 days’ notice in writing by email or through the designated online portal.
2.2 Cancellations must be submitted before your next billing cycle to avoid additional charges.
2.3 If you cancel your membership, you will not be entitled to a refund for any unused portion of your current membership period.
3. Refunds
3.1. Membership fees and class bookings are non-refundable, except in the case of:
a) Student’s ill health or injury with evidence of a medical certificate and written notice. This will still remain at the discretion of Pole Haven. b) Pole Haven have to cancel a course, class or workshop for any reason.
3.2. If a class is cancelled by Pole Haven, members may reschedule or receive a credit for a future class.
3.3. No refunds or credits will be issued for missed classes unless the absence is due to medical reasons with proof of a medical certificate.
3.4. Credits may be given at the discretion of Pole Haven if a class cannot be attended and sufficient notice is provided. There will be consideration given to make up classes of other class times of a suitable level to the student.
4. Pregnancy
4.1. If you become pregnant, you may place your membership on hold for the duration of your pregnancy.
4.2. Please consult with your doctor before continuing any pole or dance activities. You must notify the studio in writing if you wish to pause your membership due to pregnancy.
4.3. After pregnancy, you may resume your membership at the agreed-upon date or provide medical clearance for a revised start date.
5. Placing Membership on Hold
5.1. You may request to put your membership on hold for up to 8 weeks per calendar year. A written request must be submitted at least 7 days in advance.
5.2. Holds may not be used consecutively to avoid regular membership payments.
5.3. Memberships cannot be put on hold for less than 7 days.
6. Intellectual Property
6.1. All content provided by Pole Haven, including but not limited to class routines, choreography, videos, images, and teaching methods, is the intellectual property of Pole Haven.
6.2. You are not permitted to record or reproduce any content from Pole Haven without prior written consent.
6.3. The use of our intellectual property for personal or commercial gain without authorization is prohibited and may result in legal action.
7. Studio Conduct and Policies
7.1. All members are expected to respect instructors, staff, and fellow members. Disruptive or violent behavior will result in termination of membership without refund.
7.2. Pole Haven reserves the right to make changes to the class schedule, instructors, or studio hours at any time. Advance notice will be provided where possible.
7.3. Use of alcohol, drugs, or any behavior that may endanger yourself or others is strictly prohibited.
8. Liability and Waivers
8.1. You acknowledge that pole dancing and other dance activities carry certain risks. By participating, you agree to release Pole Haven from any claims of injury or harm.
8.2. You are responsible for informing Pole Haven of any pre-existing medical conditions or injuries that may affect your participation.
9. Changes to Terms and Conditions
9.1. Pole Haven reserves the right to modify these terms and conditions at any time. Any changes will be communicated via email or posted on Pole Haven’s website.
9.2. Continued use of your membership following any changes constitutes acceptance of the new terms.
10. Privacy
10.1. Your personal information will be handled with care and only used in accordance with our Privacy Policy, which outlines how we collect, use, and protect your data.
10.2. We will not share your information with third parties without your consent, except as required by law.
